Privacy Policy

1. Introduction

This Privacy Policy explains what information HireXAI collects when you use hirexai.in, why we collect it, and what you can ask us to do with it. It applies to everyone who uses the platform — candidates, interviewers and companies.

HireXAI connects candidates with working professionals for live mock interviews and career guidance sessions, and lets interviewers refer candidates to roles at their own companies. Those services are the reason we collect everything described below.

2. Information We Collect

We collect information you give us, information created when you use a session, and basic technical information from your device.

a. Information you give us

  • Your name, email address and phone number.
  • Your professional background — work history, skills, education and, if you upload one, your résumé.
  • What you write on the platform: session agendas, referral applications, feedback and messages you send us.
  • If you are an interviewer, the payout details you add so we can pay you — a bank account or a UPI ID.
  • If you are a company, your company profile and the job openings you post.

b. Session content

Mock interviews and guidance sessions run as live video calls on our platform. In connection with those sessions we may collect:

  • Audio and video recordings of the session.
  • A written transcript of what was said, including which participant said it.
  • The written evaluation your interviewer submits — scores, strengths, areas to improve and notes.
  • Session metadata such as when each participant joined and how long the session ran.

You are told before a session is recorded. Recordings and transcripts are linked to the accounts of the participants in that session.

c. Technical information

Collected automatically when you use the site:

  • IP address.
  • Browser type and version, and device type.
  • Time zone.
  • Pages you visit on hirexai.in and actions you take on them.

3. Use of Data

We use the information we collect to:

  • Create and run your account, and show your profile to the people you choose to interact with.
  • Schedule sessions, open the video room at the right time, and record attendance.
  • Produce your interview feedback. We use automated processing on session transcripts to draft evaluation summaries and scores — a draft is always reviewed and can be changed by your interviewer before it is submitted to you.
  • Process referral applications and pass them to the interviewer who posted the opening.
  • Calculate what interviewers have earned and pay them out.
  • Send you transactional email — booking confirmations, reminders, password resets and replies to messages you send us.
  • Investigate misuse, no-shows and fraud, and keep the platform secure.
  • Meet our legal and tax obligations.

4. Third-Party Services

We do not sell your personal data. We share it only in these situations:

  • With people you choose to interact with. An interviewer you book sees the profile details needed to run your session. An interviewer whose referral you apply to sees the details attached to your application.
  • With service providers who run parts of the platform for us — cloud hosting and our managed database, the video infrastructure that powers live sessions, file storage for résumés and recordings, and the provider that delivers our email. They may only process your data to provide that service to us.
  • With a payment provider when you pay for a session or when we pay an interviewer, so the transaction can be completed.
  • Where the law requires it — for example in response to a valid legal request from a court or enforcement agency.

5. Security Measures

We use the following safeguards to protect your data:

  • All traffic between your browser and HireXAI is encrypted in transit over HTTPS.
  • Data is encrypted at rest by our managed database provider.
  • Passwords are stored as salted hashes — they are never readable by us and cannot be recovered in plain text.
  • Access to production data is restricted to the people who need it to operate the platform.

6. User Rights

You can ask us to:

  • Give you a copy of the personal data we hold about you.
  • Correct anything that is wrong or out of date.
  • Delete your account and the data associated with it.
  • Withdraw consent to something you previously agreed to.

Use the contact form or email us and we will confirm your request and act on it. There is no self-service delete button in the dashboard yet, so a request to us is the way to do this today.

How long we keep your data

We keep your account data for as long as your account is open. When you ask us to delete your account we remove your personal data, except where we are required to keep records — for example transaction records we must retain for tax and accounting purposes. Session recordings and transcripts are deleted along with the account they belong to.

7. Cookies & Tracking Technologies

We use only the cookies and local storage needed for the platform to work — chiefly keeping you signed in and remembering your theme preference. We do not run third-party advertising or analytics trackers, and we do not use cookies to build a profile of you across other websites.

You can clear or block cookies through your browser settings, but you will not be able to stay signed in to HireXAI if you block the essential ones.
